# Terms of Service

# Introduction

Poolaris is a player ranking and match tracking system for collegiate billiards clubs at registered universities. By using Poolaris, you agree to abide by these Terms of Service.

Failure to comply may result in bans from the system, including a permanent ban for your university.


# Who Can Use Poolaris?

Only students who have registered for Poolaris with a university email at some point are eligible to use our systems. If you're an alumni but already have a profile on Poolaris, you are still eligible to play.

Your university club must first apply and get approved by Poolaris before using the bot. Club applications requires a club officer to submit a form from the apply page. Once approved, only users from that university may register and use Poolaris in the server the officer applied for.


# Prohibited Conduct

Gaming the leaderboard is strictly prohibited!
Any form of manipulation or dishonest behavior will result in bans. Registered universities are responsible for ensuring fair play within their own registered guilds.

# What Counts as "Gaming" the Leaderboard?

  1. Intentional Losing – Deliberately losing to boost another player's rating.
  2. Match Fixing – Coordinating match results in advance.
  3. Multiple Accounts / Smurfing – Creating alternate profiles (even with different emails) to manipulate rankings.
  4. Account Sharing – Letting another person play for your profile.
  5. Boosting Services – Paying someone to artificially increase your rating.
  6. Mass Forfeiting – Intentionally entering matches and immediately surrendering.

All suspicious activity is tracked, but false positives may occur. Universities can appeal bans via our support server.


# Club Officer Responsibilities

Club officers are essential for maintaining leaderboard integrity. Their responsibilities include:

  • Reporting any instances of cheating, win-trading, or smurfing.
  • Ensuring smooth transitions when new club officers take over upon graduation.
  • Staying active in the Poolaris support server to receive updates and share them with their club.

# Bot Permissions

Poolaris requires certain Discord permissions to function. The full list of required permissions can be found in the permissions page.


# Bans & Enforcement

Any university caught cheating will receive a permanent ban. All players from a banned university will also lose access. Appeals can be made via our support server.


# Refund Policy (Future Updates)

At the moment, Poolaris does not offer premium features or subscriptions. This section will be updated when payment features are introduced.


# Liability Disclaimer

Poolaris strives to provide a reliable experience, but occasional disruptions may occur. While we are not responsible for bot downtimes or lost ranking data, future updates will empower club officers with tools to manually adjust match results when needed. We appreciate your understanding and are committed to improving your experience.


# Changes to the ToS

Updates will be announced in the support server and in the changelog. Continued use of Poolaris implies acceptance of the updated privacy terms.

Club officers are encouraged to share important updates with their members for clarity and transparency.
