Discord ID
First Name
University Email Address and Domain
Club Officer Personal Email (for applications)
Match and ranking data (custom bot data)

We collect data through:

Discord OAuth during website login
University club application process
Player registration in university club servers
Match tracking system

# Where Is This Data Stored?

Your data is stored in private databases. Logged interactions are saved permanently in server logs and our database.

# What We DON'T Collect

We do NOT collect Discord messages.
We do NOT store cookies or tracking data.
We do NOT sell user data.

No. We do not share your personal data with third-party services. However, player rankings and university names are displayed publicly in leaderboards.

# Security & Breach Protection

All sensitive access tokens are encrypted and stored in browser local storage. Poolaris employs 2FA and OAuth security layers for databases, hosting, and domain management. Logging systems are in place to detect and respond to breaches.

# Data Export & Deletion

Users can request an export of their data via the support server. Data deletion is not currently supported as it impacts rankings. However, we may offer a way to hide players from leaderboards instead of deleting data in the future.

# Compliance with GDPR/CCPA

Poolaris does not delete data but will provide exports upon request. For privacy reasons, university emails cannot be included in exports.

# Changes to the Privacy Policy

Updates will be announced in the support server and in the changelog. Continued use of Poolaris implies acceptance of the updated privacy terms.

Club officers are encouraged to share important updates with their members for clarity and transparency.
